Through the RoomRaccon PMS, the communication of the police files to the SEF is done automatically, saving hours of work for your STAFF.
But how does this tool work?
In accordance with the legal requirements and guidelines imposed by SEF, RoomRaccoon sends the data of all foreign guests to the SIBA platform whenever they register for Check-ins and Check-outs. The communication is carried out once a day automatically and no action is required on your part.
It is also important to note that since SEF gives a 3 day deadline for sending the information, PMS looks back 3 days to see if any reservations remain unsent.
However, there are some rules that must be followed:
All reservations must be marked as check-in or check-out.
This action is crucial, as only through it does the system know which guests actually entered or left your accommodation. To do so, all you have to do is change the reservation status, whenever guests check in or out.
All * mandatory data must be filled in.
For each reservation at PMS RoomRaccoon and at the selected rate, you will find a form to fill in for each guest.
As you can see in the example above, if there are more than one guests, simply click on each of them to fill in their details individually. Here you have to fill in all the mandatory data to send to SEF:
- Name
- Surname
- Identification Number
- Type of Identification
- Issuing Country
- Date of Birth
- City of Address
- Nationality
- Place of Birth
All these data have to be filled in. Otherwise, the information will not be sent!
How to request the connection:
To request the connection of your PMS RoomRaccoon to the SEF, it is important to ask the SEF to change the method of sending the files to "Web Services". Usually the request is made via email and it takes about 2 days to confirm that it was done.
With this, simply send your account manager the following data:
NIF
Number of Establishment
Authentication Key
As the delivery is done automatically, the delivery of the bulletins can be verified next to the account in SIBA.
