Each reservation in your calendar will have a door icon where the key code will show when it has been generated.
How to view the code?
Step 1: Click on the Reservation Module on the left of your screen and select reservation.
Step 2: Click on the door icon to view the code.
IMPORTANT: "You can generate key codes by choosing between two guest journey flows:
Option one:
The key code is generated and sent to the guest after they have completed the online check-in. You must then add the %roomkey% to your online check-in confirmation document.
How to access the online check-in confirmation document?
Step 1: Click on the Documents module on the left of your screen.
Step 2: Under the Set Up tab, scroll to your check-in confirmation document.
Step 3: Add the replace tag '%roomkey%' to the document. This is a very important step because the guest will only receive their code if it is there.
Step 4: Once set up, the guest will receive their key code after completing their online check-in.
Option two:
The key code is generated when the guest checks in. When this flow is selected, the key code will not automatically be sent to the guest. In this case, you can create a custom document with the %roomkey% replace tag added and manually send this to the client when they check-in.
How to create a custom document?
Step 1: Click on the Documents module on the left of your screen.
Step 2: Under the Set Up tab, click + Document.
Step 3: Click on the drop-down to select the document type and give the document a name. You can filter this document for specific room categories or all rooms. Select “Apply to the following room types or rooms.”
Step 4: Add custom content and the replace tag to the document. This is a very important step because the guest will only receive their code if it is there.
Step 5: Click Save.
Step 6: You then have to manually send the document to the guest so they can receive the key code. Read the following article for steps on how to send the document manually.
Good to know
The reservation requires basic booker details for the key code to be generated. These details are the booker's name, surname, and email address.
The key code will only be valid on the check-in date and time (if specified). If you don't specify a time, it will become valid at 14h00 on the day of check-in.
The key code will deactivate and be removed from the reservation once the reservation status has been changed to checked-out.
