How does the Expedia integration with RoomRaccoon work?
You're in charge of pricing and occupancy management by simply sending your rates, availability, and restrictions to Expedia. RoomRaccoon's Channel Manager will automatically update any bookings and changes made to the reservations on Expedia.
Note: Expedia’s integration with RoomRaccoon is a two-step process, so the connection must be requested on both platforms.
How to Connect to Expedia
Before you connect to Expedia, you need to set up your rates in RoomRaccoon.
Setting up your rates in RoomRaccoon
RoomRaccoon works with derived-based pricing, meaning we would need a rate for each occupancy. We always advise you to use derived rates to make your life easier. See the examples below to fix your rate plans:
What derived rate plans should look like:
In the example above, 1 guest is the base rate, and 2nd, 3rd, or 4th guest rates are derived, with the 2nd guest being the same price, and 3rd being $25 more expensive, and the 4th being $50 more expensive than the 1 guest rate plan.
What your rates shouldn't look like:
In this case, we recommend creating a rate plan for all the OTA channels or only for Expedia and then using the derived rates for the 2nd, 3rd, 4th, or any other guest numbers you have.
If you do not put a price, the derived rate will be the same amount as the rate plan you are deriving it from.
If you do not use derived rates, first we may ask you to fix your structure before setting up the connection.
Adding existing Expedia reservations into your RoomRaccoon calendar
With Expedia reservations, we usually import the reservations manually through the import sheet during implementations, or you do it manually. If you do not add the reservations by yourself in RoomRaccoon in the future or provide us with the import sheet during the implementation, RoomRaccoon is not responsible for overbookings or any other issues you could face.
IMPORTANT: Any modifications for these manual reservations in the future need to be done manually as we do not have a way of changing that for you.
Requesting RoomRaccoon as Channel Manager in Expedia
Step 1: Access your Partner Central account.
Step 2: Select Room and Rates.
Step 3: Click on Expedia Connectivity Settings.
Step 4: Choose RoomRaccoon and check all the boxes to have the complete connection (prices and availability).
Requesting the connection through the Helpcentre
After you've completed the steps above, the last step is to provide us with the information so we can complete the integration for you.
In the Expedia portal you need to follow the steps below:
Step 1: Click on rooms and rates
Step 2: Click on room types and rate plans
Step 3: Get the information for each Expedia room ID and match them with the RoomRaccoon category name.
Step 4: Check that all the rate plans match the ones you have in RoomRaccoon and remove the rate plans that you do not want.
Step 5: Provide us with the commission percentage that you have with Expedia so we can reflect that properly in all of your reservations.
You can find your commission agreement:
Going to the Expedia Partner Central
Clicking on the Help and support tab on the left
In the quick tasks on the right, you will see "view agreement" highlighted text. Click on it and you will have the information about your commission
Step 6: Request the connection via a ticket (example below)
“Hi RoomRaccoon Support team.
Can you please connect our property with Expedia?
I confirm that I have read the Help Center article and added all the Expedia reservations to the system.
Expedia ID: 123456
Expedia commission: 18%
Expedia category ID: 46285328 - RoomRaccoon category: Deluxe Double Room
Expedia category ID: 46285329 - RoomRaccoon category: Junior Suite
I also confirm that all the rate plans on Expedia are in RoomRaccoon with the rate plan names: OTA and OTA non-refundable.”
Good to know
Changing the pricing model to "Occupancy Based" is an automatic step. However, you may contact Expedia to speed up the process or try adding RoomRaccoon as your channel manager. After that, you should receive an error message that a case has been created for changing the pricing. Sometimes that error message doesn't appear after the first try of adding RoomRaccoon as your channel manager in Expedia, but the second.
You can only sign up for Expedia on a weekday.
There is no added cost to connecting with booking channels through RoomRaccoon.
For more information requesting the connection, please send us a request by submitting a ticket.
