Login Details Safety on RoomRaccoon

Modified on Wed, 4 Sep at 11:48 AM

To ensure the security of your hotel’s data and the safety of your guests' information, each staff member using RoomRaccoon must have a unique login. While these security measures may seem inconvenient, they are essential for maintaining the integrity and safety of your data. By ensuring each staff member has their own login, you not only comply with best practices but also safeguard your guests’ information and your business.

This requirement is in place for several critical reasons outlined below.

1. One Login, One Device:
Each login on RoomRaccoon can only be active on one device at a time. If a staff member logs in on a second device, the system will automatically log out the first device. This policy prevents simultaneous usage of the same account on multiple devices, ensuring that access is controlled and secure.

2. Security and Accountability:
Individual logins are crucial for security. By assigning unique logins to each staff member, you ensure that all actions taken within the system—such as changes to bookings—are tracked and recorded under the correct user profile. This tracking is essential for maintaining accountability and helps you quickly identify who made specific changes.

3. Risks of Shared Login Details:
We have seen instances where hoteliers using shared login details experienced data breaches. Without unique logins, it is impossible to track who accessed or leaked account credentials, leaving your data vulnerable. To protect your business and your guests, it’s vital to avoid shared logins.

4. Automatic Logout for Inactive Accounts:
As an additional security measure, RoomRaccoon will automatically log out accounts that remain inactive for more than 25 minutes. This feature helps to prevent unauthorised access if a device is left unattended.

5. Protecting Your Data:
As the data owner, you are responsible for the personal and payment information of your guests stored in RoomRaccoon. The security measures we have implemented, including unique logins and session timeouts, are designed to protect you from unauthorised access, potential fraud, and data leaks.

6. Enabling two-factor authentication (2FA):
We require you to enable 2FA for your account. This is an additional layer of security to prevent unauthorised access to your account even if your password is leaked. How to Enable Two-Factor Authentication on RoomRaccoon (2FA)
